Refund Policy

1. Overview
This Refund Policy applies to all paid subscriptions and add-on credit purchases made on the Hirebix platform, operated by Uibix Technologies. By subscribing to a paid plan or purchasing add-on credits, you agree to the terms outlined below.
Hirebix reserves the sole and final authority to approve or deny any refund request at its discretion, after evaluating the circumstances of each case.
2. How Billing Works
Hirebix offers the following paid products:
2.1 Subscription Plans (Solo, Pro, Scale)
- Plans are billed on a recurring basis, either monthly or annually, depending on the billing cycle you select at checkout.
- Payment is collected at the start of each billing cycle via Razorpay. Annual plans are charged upfront for the full year.
- Your subscription automatically renews at the end of each billing cycle unless you cancel before the renewal date.
2.2 Add-on Credits
- Add-on credits (extra AI screenings, criteria extractions) are one-time purchases available to active subscribers.
- Credits are consumed on a first-in, first-out (FIFO) basis after your plan quota is exhausted.
- Credits do not expire as long as your subscription remains active. If your subscription is cancelled, unused credits are forfeited.
2.3 Free Trial
If a free trial is offered, no payment is collected during the trial period. Your first charge occurs when the trial ends. You may cancel at any time during the trial without being charged.
3. Subscription Cancellations and Refunds
3.1 Cancellation
You may cancel your subscription at any time from your Billing settings. When you cancel:
- Your access continues until the end of the current billing period you have already paid for.
- No further charges will be made after cancellation.
- Your account is downgraded to the Free plan at the end of the paid period. Your data is retained, but features beyond the Free plan limits become inaccessible.
3.2 Refunds for Monthly Plans
- Monthly subscriptions are not eligible for refunds once the billing cycle has begun.
- If you cancel mid-cycle, you retain access for the remainder of the month but will not receive a prorated refund.
3.3 Refunds for Annual Plans
- Annual plans may be eligible for a refund if a request is submitted within 7 days of the initial purchase or renewal, provided that the account has not consumed more than 10% of the monthly quota included in the plan.
- After the 7-day window, or if significant usage has occurred, annual plans are not eligible for refunds. You may cancel to prevent future renewal.
- If a refund is approved for an annual plan, Hirebix will deduct the value of any usage that occurred during the active period, calculated at the monthly rate for the same plan.
3.4 Plan Upgrades
When upgrading from one paid plan to a higher plan mid-cycle, Razorpay handles the prorated adjustment. Refunds are not issued for the difference between old and new plans. The upgrade takes effect immediately.
3.5 Plan Downgrades
Downgrades take effect at the end of the current billing cycle. No partial refund is issued for the remaining period on the higher plan.
4. Add-on Credit Refunds
- Add-on credit purchases are non-refundable once any credits from the purchase have been consumed.
- If no credits from a purchase have been used, you may request a refund within 48 hours of the purchase.
- Bulk discount pricing (500-pack, 1000-pack) is based on commitment to the full quantity. Partial refunds that would retroactively change the per-unit price are not available.
- Credits forfeited due to subscription cancellation are not eligible for refund.
5. Circumstances Where Refunds Will Not Be Issued
Refunds will not be granted in the following situations:
- You changed your mind about using the service after the applicable refund window has passed.
- Your account was suspended or terminated due to a violation of our Terms of Service.
- You failed to cancel before the auto-renewal date. It is your responsibility to cancel before the next billing cycle if you do not wish to continue.
- The AI screening results did not meet your subjective expectations. Hirebix provides AI-assisted screening tools; outcomes depend on the quality of job descriptions, screening criteria, and resumes provided.
- Planned downtime, maintenance, or temporary service interruptions that are communicated in advance.
- Features marked as "Coming Soon" on the pricing page that are not yet available. These are clearly labeled and are not part of the current plan entitlement.
6. How to Request a Refund
To submit a refund request:
- Email team@hirebix.com with the subject line "Refund Request".
- Include your registered email address, organization name, and the reason for the refund request.
- Our team will review your request and respond within 5 business days.
If approved, refunds are processed via the original payment method (Razorpay) and typically reflect in your account within 5 to 10 business days, depending on your bank or card issuer.
7. Final Authority on Refund Decisions
All refund requests are evaluated on a case-by-case basis. Uibix Technologies (operating as Hirebix) reserves the sole and final authority to approve or deny any refund request. Factors considered include but are not limited to:
- The amount of service usage during the billing period.
- Whether the refund request falls within the applicable eligibility window.
- The nature and validity of the reason provided.
- Any history of repeated refund requests or potential misuse.
Hirebix may, at its discretion, offer account credits instead of monetary refunds where it deems appropriate.
8. Extended Service Disruptions
In the event of an unplanned service outage exceeding 72 consecutive hours that materially prevents you from using the platform, you may request a prorated credit for the affected period. Such credits are applied to your next billing cycle and are not issued as monetary refunds.
9. Changes to This Policy
We may update this Refund Policy from time to time. Changes will be posted on this page with an updated effective date. Continued use of the platform after changes are posted constitutes acceptance of the revised policy. For material changes, we will notify active subscribers via email.
10. Governing Law
This Refund Policy is governed by the laws of the Republic of India. Any disputes arising from this policy shall be subject to the exclusive jurisdiction of the courts in Bengaluru, Karnataka, India.
